Introducing...Team-Based Approval

One of the main troubles we hear from BrandStencil Product Owners is managing artwork approval. Within national or international teams it can feel like a bit of a nightmare; approval emails flying in day and night, demanding your attention and taking up all of your precious time.

That’s why we’ve developed a new feature to help share the load - Team-Based Approval.

What is team-based approval?

This new feature allows you to set one or multiple approval contacts in each of your BrandStencil teams, delegating that responsibility and encouraging other members of your team to own that brand management piece.

When something is sent for approval they will receive an ‘Approval Sign Off’ email or can view this in their BrandStencil account ‘Approval’’ area. On sign off the user will then be notified and the artwork released.

It only takes 5 minutes to set up and means your inbox stays clear, so you can concentrate on the bigger picture stuff.

How does it work for BrandStencil users?

For your BrandStencil users the approval process will still be easy and will hardly change at all. However the steps they need to take can change depending on two things:

  1. Whether there are single or multiple approval contacts available
  2. Whether the template is set to ‘Everyone’ or a specific team

Single or Multiple Contacts

If your user is in one team only and there is one approval contact they will submit their artwork for approval with one click of a button and the approval contact of that team will receive an email.

If your user is in multiple teams or you have multiple approval contacts in one team when they choose to send it for approval they will see a drop-down list of all available approval contacts. They can then choose the most appropriate contact based on the team they wish to send it to.

Template Approvals

If the template itself is assigned to 'Everyone' in its settings then it will show the approval contacts of the team or teams that user is in.

Or if the template is assigned to a specific team then it will only show the user the approval contacts for that specific team only.

How do I set them up?

For Product Owners this setup couldn’t be easier. You can set Super Users, Account Admins or both to be your approval contacts. Just get in touch with us and let us know your preferences and we can get you set up.
